Before a major recertification, we chose to start over and redefine all our processes. In a brand-new management system. On a tight deadline. The outcome? A large-scale transformation project and a structure built around 37 cross-organizational processes.
We kicked off the project in August of 2022 and were re-certified by April 2023. In that short span, we had to rethink our entire structure and reassess how we documented processes. We had to build the system from scratch and transfer all of our existing content. Wanting more than just a copy-paste job, we used the opportunity to have employees evaluate every single workflow: Does this reflect how we actually work? Only after actively engaging with the existing documentation did we migrate it into the new IPW templates.
User-friendly Processes Across the Board
Previously, our workflows were more siloed. With IPW, we turned that on its head and built the system around 37 processes that cut across all departments. During this process, our IPW consultant provided valuable input on things like the front page, menu structure, and list setup.
The system itself is intuitive and easy to edit. With more time, we would have conducted more user testing to collect direct feedback from end users. Instead, we worked closely with our UX team to make the user interface look sharp and on-brand with Kamstrup’s colors.
We had a project group with one representative from each of our 17 departments taking part—from selecting IPW to building the system. That same group has since evolved into a superuser community, with one or more members from every department. We also held a two-hour training session for 350 employees. All in all, it was a major transformation project on a fast track—but we’re very happy with where we’ve landed.
