Our management had been pushing to raise the bar in our quality department. With IPW, we’ve gone from the paper trail era into the digital age—and the transition felt surprisingly seamless. Everything was done by the book, and all of us are genuinely thrilled with the results.
The document management system we had got the job done, but it was outdated when it came to our need for online registration and integration with our WMS. The workflow involved printing forms, handing them out to employees, getting them filled in by hand—and then having a team leader review the papers before archiving them. We wanted to move away from all that paperwork and, at the same time, save our colleagues a lot of time.
Making Implementation a Meaningful Exercise
One of the best moves we made during implementation was to connect our quality and operations teams more directly. After a three-day introduction to the system, we began setting up procedures. Key frontline colleagues—like our operations manager and team coordinator—helped build the forms. Their close connection to each team made sure IPW wasn’t just implemented but genuinely embraced. They also took the lead on testing, gathering feedback, and training each team to make sure the system worked well from day one. Our collaboration with IPW throughout the process was excellent as well.
Built Right. Works Right.
The first thing we set up was electronic guest registration with scanning at the entrance doors—absolutely essential during fire drills to make sure everyone, including visitors, is accounted for. But the real game-changer for us was rolling out digital registrations using tailored forms for daily, weekly, monthly, quarterly, and annual documentation—including embedded images. That alone has already saved us from several customer claims. We also set up non-conformities and claims in the system and built our own supplier management module—something our colleagues responsible for the annual supplier evaluations really appreciated. What used to take several days now takes 10 minutes.
